Connecting HubSpot

Link your HubSpot account so the app can pull through your deals and contacts and keep each job in step with your sales pipeline — with a single click, no developer setup.

What it's for

The app reads your HubSpot deals and contacts to line each job up with the deal it came from and keep pipeline, contacts, and activity in sync. To do that it needs your permission to talk to your HubSpot account. Connecting HubSpot grants that permission; you stay in control and can disconnect at any time.

Connecting

  1. Go to Settings.
  2. Find the HubSpot card and click Connect HubSpot.
  3. You're taken to HubSpot. Sign in if you aren't already, choose the account

(portal) you want to connect, and click Connect app / Grant access.

  1. HubSpot sends you straight back to Settings — that's it. The card now shows

✓ Connected.

No developer credentials to enter. You don't need a HubSpot client ID, secret, or webhook key — the app is already registered with HubSpot on your behalf. You just approve the connection.

What the HubSpot card shows when connected

  • A ✓ Connected status.
  • The connected HubSpot account (portal), so you can confirm you linked the right

one.

  • Re-authorize and Disconnect buttons.

Re-authorizing

If HubSpot ever asks for permission again — for example after your access needs a refresh, or if you added new permissions — click Re-authorize and approve the HubSpot screen again. It's the same one-click flow as connecting.

Disconnecting

Click Disconnect and confirm. This removes the app from your HubSpot account and stops the app from reading your deals and contacts. What stops: new deal and contact changes stop flowing in, and the mirrored HubSpot pipeline data is cleared from this side.

What's safe: your jobs stay exactly where they are, and any links you've made between a job and its Buildxact or Xero records are kept — disconnecting HubSpot doesn't touch them. You can reconnect any time with Connect HubSpot; your deals re-sync on the next update.

If HubSpot can't confirm the removal for any reason, the app still removes the connection on its side and tells you — you can then remove the app yourself from your HubSpot account's Connected apps list to be sure.

If your organisation uses its own HubSpot app

Most businesses connect with the one-click flow above. If your organisation was set up with its own HubSpot developer app, the HubSpot card instead shows credential fields (client ID, client secret, and a webhook signing key) that were entered during setup. Everything else — Connect, Re-authorize, Disconnect, the connected status and account name — works the same way; you just keep those fields filled in. If you're not sure which applies to you, the presence of those fields is the tell. </content>
